Job Description

Our client, a highly respected global nonprofit organization, is seeking an experienced Executive Assistant to provide dedicated support to senior executive leadership. This role will primarily support the Vice President of Latin America, Chief Impact Officer, and Chief Communications Officer, while serving as an integral member of the Latin America and Caribbean regional program team. This position requires a polished, highly organized professional with experience supporting multiple C-level executives in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and comfortable interacting with senior leaders, high-profile stakeholders, and external partners with the utmost professionalism.
  • Location: New York, NY
  • Schedule: Hybrid – In Office Tuesday, Wednesday, Thursday | Remote Monday & Friday
  • Pay Rate: $45/hour
  • Start Date: Ideally immediately following the July 4th holiday
Responsibilities:
  • Provide executive-level administrative support to three senior leaders, including the Vice President of Latin America, Chief Impact Officer, and Chief Communications Officer.
  • Manage complex Outlook calendars, coordinate meetings across multiple time zones, and prioritize competing scheduling requests.
  • Arrange domestic and international travel through the American Express travel portal.
  • Process and manage executive expense reports in a timely and accurate manner.
  • Support Salesforce-related contracting and administrative processes (training provided; prior Salesforce experience is a plus).
  • Coordinate meeting logistics, prepare materials, and ensure executives are well-prepared for internal and external engagements.
  • Serve as a key liaison between executives, internal teams, external stakeholders, and partner organizations.
  • Maintain a professional presence in the New York office and provide backup support for visitors, guests, and last-minute in-person requests.
  • Handle confidential and sensitive information with discretion and sound judgment.
  • Anticipate executive needs and proactively identify solutions to support operational efficiency.
Required Qualifications:
  • 5–7+ years of experience in an Executive Assistant role supporting multiple C-suite executives.
  • Demonstrated experience managing complex calendars, travel arrangements, expenses, and executive communications.
  • Advanced proficiency with Microsoft Outlook and Microsoft Office Suite.
  • Experience with Salesforce is highly preferred.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Outstanding verbal and written communication skills.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Proven ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Professional, polished demeanor with strong interpersonal skills.
  • Experience interacting with executive offices, senior government officials, offices of heads of state, board members, or similarly high-level stakeholders is highly desirable.
